We’re excited to welcome you to the South Asia Expo 2025 in Canada. Please make sure to review and follow the guidelines and terms to ensure a smooth and enjoyable experience at the Expo.

Event Details:

  • Date: August 30-31, 2025
  • Venue: Surrey Civic Plaza, Surrey, BC, Canada
  • Time: 9 AM – 5 PM (PST)

Registration and Entry

  1. Free Registration: There are no registration fees for local participants, and everyone is welcome to attend South Asia Expo 2025. However, all participants must complete a pre-registration process. To confirm your participation, please fill out the registration form available on our website.
  2. Ticket Confirmation: Once successfully registered, participants will receive a confirmation email containing their e-ticket and event details. This ticket is your entry pass, so please bring either a printed or digital copy to the event.
  3. Photo ID Requirement: For security purposes, all attendees must present a valid photo ID along with their e-ticket at the entrance. Acceptable forms of identification are driver’s licenses, passports, and state-issued ID cards. Please ensure that the name on your ID matches the name on your registration.

General Guidelines

  1. Age Restrictions: All participants under the age of 16 must be accompanied by an adult at all times. This rule is strictly enforced to ensure the safety and well-being of younger attendees.
  2. Prohibited Items: To ensure the safety and comfort of all attendees, certain items are not allowed at the venue. These include, but are not limited to:
    • Weapons of any kind
    • Illegal substances
    • Outside food and beverages
    • Large bags or backpacks (small bags are allowed)

Please note that this list is not exhaustive, and security personnel may prohibit additional items at their discretion.

  1. Security Checks: For the safety of everyone at the expo, attendees will undergo a security check at the entrance. We kindly ask that you cooperate fully with security personnel to help make the entry process as smooth and efficient as possible.
  2. Code of Conduct: As this is a formal exhibition, all attendees are expected to behave in a respectful and orderly manner. Any form of harassment, discrimination, or disruptive behavior will not be tolerated. Individuals engaging in such actions will be removed from the event immediately, without prior warning.

Policies of South Asia Expo 2025

  1. Photography and Filming: By attending the South Asia Expo 2025, you agree to be photographed and filmed. These images and videos may be used by the expo organizers for promotional purposes across various media platforms. If you have any concerns about being photographed or filmed, please inform our staff upon arrival.
  2. Personal Belongings: Participants are fully responsible for their personal belongings. The event organizers will not be liable for any lost, stolen, or damaged items. Please ensure you keep your valuables secure at all times.
  3. Re-entry Policy: Attendees are allowed to leave and re-enter the venue during event hours. Each time you re-enter, you must present your ticket along with a valid photo ID. Please keep these items accessible to avoid any inconvenience.
  4. Health and Safety: You should follow all health and safety guidelines that are in place at the time of the event. This may include wearing masks, maintaining social distancing, or other measures as required by local health regulations. The safety of all participants is our priority, and we appreciate your cooperation in adhering to these guidelines.
  5. Additional Policies: Please be mindful of any other expo-specific policies that may be announced. These are in place to ensure a safe and enjoyable event for everyone. If you have any questions, feel free to reach out to our event staff.

Liability

  1. Assumption of Risk: By participating in the South Asia Expo 2025, attendees acknowledge and accept all risks associated with the event. This includes any potential physical injuries, property losses, or damages that may occur during the event. The expo organizer will not be held responsible for any such incidents, and participants agree to assume full responsibility for their well-being.
  2. Force Principal: The expo organizers reserve the right to cancel, postpone, or reschedule the expo if unforeseen circumstances arise beyond their control. These circumstances may include, but are not limited to, extreme weather conditions, natural disasters, or other emergencies. In such cases, the organizers will make every effort to communicate any changes promptly and minimize inconvenience to participants.
