Before booking our hotel reservation service, please read the following terms and conditions carefully associated with our service.
Eligibility and Booking Timeline
Only those registering for South Asia Expo in Canada 2025 are eligible for our hotel reservations. Participants are advised of booking hotels at least 2 months before the expo date.
Payment Terms and Conditions
Participants must pay the full amount of 1000 USD during the hotel booking registration. Note that the hotel booking fee is non-cancelable and non-transferable.
Cancellation and Refund Policy
Cancellation of a hotel reservation is only possible with a 7-day notice before the scheduled check-in date. In that case, you will receive a refund of 500 US dollars in your account.
Hotel Categories and Standards
South Asia Expo in Canada 2025 has a variety of three-star and four-star hotels available for attendees of the expo. We ensure that the hotels we select have good reviews and provide excellent hospitality services to our guests.
Room Allocation and Availability
Room will be allocated based on the availability of the hotel, and the size of the room may vary depending on the hotel that you choose. Note that, hotel will be reserved for a maximum of two nights from the day of check-in.

Check-In and Check-Out Times
South Asia Expo participants are required to check in and check out at the times set by their respective hotels. Early check-ins and late check-outs are subject to availability and additional charges may apply.
Identity Verification
You may need to show valid identification documents when checking into a hotel. Hence, it is advisable to carry government-issued identification, such as a passport or driving license.
Additional Fees and Charges
Any additional services, such as room service, mini-bar amenities, or any other hotel provisions, will be charged separately (not included in booking fee). Participants will be required to pay a $500 refundable deposit, which will be fully refunded after checkout.
